How to Send a Document to Multiple Signers
A partnership agreement, a lease with two tenants, a contract that your client and their finance director both sign: plenty of documents need more than one signature. The mechanics are simple once you decide two things, the order people sign in and who fills which field. This guide shows how it works in eSignSimple, what each signer sees, and when you actually want bulk send instead.
Step by step
- Upload the document. Upload a PDF or Word file, or start from a template. Word files are converted to PDF so every signer sees exactly the same pages.
- Add the signers. Enter each signer's name and email. Signers do not need an account. If you sign too, add yourself.
- Choose the signing order. Pick sequential (one after another, in the order you listed) or parallel (everyone gets the link at once). See the section below for which to pick.
- Place fields for each signer. Drag signature, initials, date and text fields onto the pages and assign each field to a signer. Each signer's fields are shown in a different color so it is easy to see who has what.
- Send and let reminders run. Send the document. Signers get an email with their personal link. Anyone who has not signed gets an automatic reminder every 3 days, up to 3 times.
- Collect the final PDF and certificate. When the last person signs, the document is finalized. Everyone receives the signed PDF, and you get the audit trail and certificate of completion.
Sequential or parallel signing: which should I use?
Sequential signing sends the document to the first person; only when they have signed does the next person get their link. Use it when order matters: an employee signs before the manager countersigns, a client signs before you do, a tenant signs before the landlord. Parallel signing sends everyone the link at once, and people sign in whatever order they get to it. Use it when nobody depends on anybody else, such as three co-founders signing a shareholder resolution. It is faster, because one slow signer does not hold up the others.
Our rule of thumb: if you would hand the paper to people in a particular order in the office, use sequential. Otherwise, parallel.
What does each signer see?
Each signer gets an email with a personal link that goes to the website's signing page. They see the whole document, with their own fields highlighted, and are guided through them one by one. They can draw or type a signature, and they cannot finish while one of their required fields is empty. They can also decline, with a reason, which stops the process and notifies you.
Nobody needs to create an account or install an app, and the signing page works in a mobile browser. With sequential signing, a signer sees fields that earlier signers already completed, which is usually what you want for a countersignature.
Roles, reminders and what you can change after sending
Every person you add signs. If someone only needs a copy of the finished document, you can simply forward them the final PDF.
Reminders are automatic: every 3 days, up to 3 times, the signers who have not signed yet get a fresh email. If you spot a mistake after sending, void the document and send a corrected version, rather than asking people to sign something wrong. What do I get at the end?
When the last signature is in, the document is finalized: all signatures are drawn into one PDF, and a certificate of completion is attached listing each signer, their email, the time they signed and their IP address, plus a SHA-256 fingerprint of the final file. The whole package is what other tools call an envelope. Keep the PDF and certificate together; they are your evidence if anyone later disputes the agreement.
Multiple signers vs bulk send: which one do I need?
People often mix these up. Multiple signers means one document, one copy, several signatures: everyone signs the same agreement. Bulk send means one document sent to many people, where each person signs their own separate copy: a policy update for 50 employees, a waiver for every volunteer.

Our take
Default to sequential signing for anything with a countersignature and parallel for everything else, and do not overthink it. The bigger mistake we see is using multi-signer when you meant bulk send, or the reverse: if everyone signs the same agreement, add them as signers; if everyone signs their own copy, use bulk send or a web form.
