Rental Application template

A rental application collects a prospective tenant's personal details, rental history, employment, income, and references, and records their consent to a credit and background check.

A rental application is the form a prospective tenant fills out so a landlord can check identity, rental history, income, and references before offering a lease. You need one for every adult applicant, signed before you run a credit or background check, because the signature is also the applicant's written consent to that check.

Our take: Our take: most landlords treat the application as a formality and then struggle to defend a decision later. Ask the same questions of every applicant, write your screening criteria down before you advertise, and keep the consent to a background check in plain words. In the US, the Fair Housing Act forbids decisions based on race, color, religion, sex, national origin, familial status, or disability, and many states and cities add more protected classes and limits on fees or criminal-history questions. If you run a consumer report and decline someone because of it, the Fair Credit Reporting Act requires an adverse action notice. Once you approve someone, move straight to the lease agreement, and see our guide on signing a lease online.

When should you use a rental application?

  • When a prospective tenant wants to rent an apartment, house, or room
  • Before running a credit, eviction, or background check on an applicant
  • When several people apply for the same unit and you need consistent information
  • When co-signers or guarantors must provide their own details

How do you fill in this template?

  1. Fill in the property address, rent, and the lease term you are offering.
  2. Write your screening criteria in section 7 before you advertise the unit, and apply them to everyone.
  3. Check your state and city rules on application fees, holding deposits, and criminal-history questions, and adjust section 5 and section 6.
  4. Send one application to each adult applicant and co-signer so each gives their own consent.
  5. Upload it to eSignSimple, save it as a reusable template, and send it for e-signature. Applicants don't need an account.

How do you get it signed online?

  1. Save it as Word or PDF. Paste the filled-in text into Word or Google Docs and keep it as a .docx file, or export it as a PDF. eSignSimple accepts both, plus DOC, ODT and RTF, up to 25 MB; Word files are converted to PDF on upload.
  2. Upload and place the fields. Sign up with Google, upload the file and drag signature, initials, date and text fields onto the page for each signer. Set a signing order if one party must sign first.
  3. Send it for signature. Each signer gets a private link and signs in the browser without creating an account. Automatic email reminders go out every three days (up to three) until everyone has signed.
  4. Keep the signed copy. When the last person signs, everyone can download the final PDF with a certificate of completion, an audit trail and a SHA-256 fingerprint you can verify later.

Frequently asked questions

Do I need the applicant's permission to run a background check?

For tenant screening in the US, landlords need a permissible purpose under the Fair Credit Reporting Act, and screening companies typically require the applicant's written authorization. A signed consent clause like section 6 is the usual way to get it.

Can I charge an application fee?

In many places, yes, but several states and cities cap the amount, require it to match actual screening costs, or require a refund if no check is run. Check the local rules before you set the fee.

What questions should a rental application avoid?

Avoid questions about protected characteristics such as religion, national origin, familial status, or disability. Some cities also restrict questions about criminal history or source of income. Ask only what you need to apply your written criteria.

Can a rental application be signed electronically?

In most US states, yes, under the ESIGN Act and UETA. eSignSimple keeps an audit trail with timestamps and a document hash for each signed application.
