Template

An e-signature template is a reusable document with preset signer roles and fields, so you can send the same agreement repeatedly without setting it up again.

An e-signature template is a saved, reusable version of a document with the signer roles, signature fields, dates and text boxes already placed. Instead of uploading and tagging the same contract each time, you pick the template, add the recipients' names and emails, and send. Some tools call these reusable documents or document templates.

Templates usually define roles rather than specific people: Client, Contractor, Landlord, Tenant. When you use the template, each role is filled with a real name and email, and the fields assigned to that role appear only for that person. A good template also stores the signing order, so the right person signs first every time.

Consider a freelance photographer who sends the same shoot agreement to every client. Setting up a template once, with fields for the client's signature, date and initials on the usage clause, turns a ten-minute chore into a thirty-second task. A landlord with a standard lease or an HR team with a common NDA gets the same benefit.

A misconception worth clearing up: a template is not a legal form. It saves the layout and field placement of a document you supply, and the wording is only as good as whatever you uploaded. Another is that templates lock you in; you can usually replace the underlying PDF when the contract changes.

Good template hygiene pays off over time. Name templates clearly, such as Client NDA v3 or Residential Lease 2026, and retire outdated versions rather than letting them pile up. Before saving, do a test send to yourself to confirm each field lands on the right page and is assigned to the right role. Keep the source document under version control or at least in one shared folder, so the whole team knows which wording is current. And when the law or your terms change, update the template first, not the copies sitting in people's downloads folders.
