How to Sign a Word Document Online

To sign a Word document online, upload the .docx or .doc to an e-signature service, place a signature field where you need it, and sign it yourself or send it to the other person. Step by step

  1. Create a free account. Go to esignsimple.com/signup and continue with Google. There is no password to set and no card to enter; the Free plan covers 5 sent documents a month.
  2. Upload the Word document. Click New document and choose your file. We accept .docx, .doc, .odt and .rtf as well as PDF, up to 25 MB. Word files are converted to PDF on our own server with LibreOffice, which usually takes a few seconds.
  3. Check the converted preview. Scroll through every page before you add anything. Standard fonts and layouts convert cleanly; unusual fonts, text boxes and tracked changes are the things to look at. If something shifted, fix it in Word and upload again.
  4. Add signers. Enter each signer's name and email. If order matters, for example the client signs before you countersign, set a signing order. To sign only yourself, add yourself as the signer.
  5. Drag fields onto the page. In the drag-and-drop builder, place a signature field on each signature line, plus initials, date, text, checkbox or dropdown fields where the document needs them, and assign each to a signer.
  6. Send and download. Send the document. Each signer gets a unique link and signs in the browser without an account. When the last person signs, everyone gets the signed PDF with a certificate of completion.

Why is the signed file a PDF and not a .docx?

A signature is only worth something if the document around it cannot quietly change. A .docx is designed to be edited: text reflows when fonts differ, tracked changes can hide content, and anyone can open it and type. A PDF fixes every character in place, looks the same on every device, and can be fingerprinted. When the last signer finishes, we calculate a SHA-256 hash of the final PDF; anyone can check it later on our verify page, and changing a single byte breaks the match.

Our take: keep editing in Word until the wording is final, then upload the Word file and let the signed version be a PDF. Keep the .docx as your working copy for the next deal, not as the signed record.

Can I just paste a signature image into Word?

You can, and for an internal form or a letter that is often fine. The problem shows up when you need to prove the other person signed. A pasted image shows that somebody placed a picture on a page, not who did it or when, and the file can be edited afterwards without trace. An e-signature service records the evidence instead: who received the signing link, when they opened it, their IP address and device, and when they signed. That record is what holds up if a client later says they never agreed.

If you only need your own signature on a document you are sending back, the Draw tab in Word or an image from our signature generator is enough. If you need someone else's, send it for signature.

Word document vs. PDF upload: what changes?

Very little from your side. A PDF opens in the builder as it is. A Word, .odt or .rtf file is converted to PDF first and then opens in the same builder. The fields, signing order, reminders, audit trail and certificate are identical. The one extra step with Word is the preview check, because any conversion between formats can move a line break on a complex page.

Is a Word document signed online legally binding?

In most countries, yes, for everyday business documents. The US ESIGN Act and UETA, the EU and UK eIDAS rules and similar laws say a signature cannot be denied legal effect just because it is electronic, whatever the original file format was. eSignSimple provides simple electronic signatures backed by an audit trail. What should you keep as evidence after signing?

Keep the final signed PDF with its certificate of completion, and note the SHA-256 fingerprint shown on it. Our take

The export-to-PDF step is where most mistakes happen: someone exports an older draft, or the PDF picks up tracked changes. Uploading the Word file directly removes that step and the error with it. We still want you to check the converted preview page by page; it takes a minute and catches the odd shifted line. Treat the signed PDF as the contract and the .docx as your drafting copy, and you will never argue about which version was signed.
