How to Electronically Sign a Word Document
Word can hold a signature in a few ways: drawn ink, an inserted image, or a signature line. For documents you send to others, converting to PDF before signing is usually the cleanest route.
Step by step
- Decide how you will sign. For a quick personal signature, use the Draw tab or an image. For a document others will receive, consider saving it as a PDF first so the layout cannot shift.
- Option A: draw in Word. Open the Draw tab, pick a pen and write your signature where it belongs using a mouse, pen or touchscreen.
- Option B: insert an image. Sign on white paper, photograph or scan it, then choose Insert > Pictures and place the image. Set text wrapping so it sits on the signature line.
- Option C: save as PDF and sign. Choose File > Save As (or Export) and pick PDF. Then sign the PDF in Preview, Acrobat Reader or a browser tool.
- Save and share. Save the signed file. If you signed in Word, consider exporting to PDF before sending so the signature cannot be moved.
About Word's Signature Line
Word for Windows has Insert > Add a Signature Line (in the Text group), which adds a signature block that can be signed with ink, an image, or a certificate-based digital signature. Certificate-based signing requires a digital ID and is aimed at organizations that already use certificates, so it is not the quickest way to sign a normal document.
Why PDF is the safer format
Word files are easy to edit and can reflow on different computers. A PDF keeps its layout, which is why most contracts are signed as PDFs.
