Event Venue Rental Agreement template

An event venue rental agreement rents a hall or facility for a specific event and sets the access hours, capacity, permitted use, fees and deposit, insurance, alcohol and vendor rules, damage responsibility, and cancellation schedule.

An event venue rental agreement is a contract in which the owner or manager of a hall, barn, studio, restaurant room, or other facility lets a client use the space for an event on a set date and time, for a fee. It covers the hours including setup and teardown, the guest capacity, the deposit, insurance, alcohol, outside vendors, damage, and cancellation. You need one before you hold a date for anyone.

Our take: Our take: the venue agreement is about the space, not the party. If you also plan the event, cater it, or supply staff, that belongs in an event contract or a catering contract; this one rents the room and sets the rules for using it. The clauses that cause the most trouble are hours and headcount. Write the access window, not just the event time, because a five-hour wedding needs a nine-hour booking once vendors load in and clean up, and put a hard maximum on guests that is no higher than the occupancy limit set for the room by the fire code or local authority. Ask for a certificate of insurance before the event, ideally naming the venue as an additional insured, and decide who may serve alcohol: in many states, sellers and sometimes hosts can be held liable for serving minors or visibly intoxicated guests, so a licensed bartender or caterer is the safer default. Tie refunds to dates in a cancellation schedule, and if guests will take part in physical activities, have them sign an event waiver.

When should you use a event venue rental agreement?

  • When you rent out a banquet hall, barn, studio, gallery, or private dining room for a wedding, party, or corporate event
  • When a nonprofit, school, or church rents its hall or grounds to outside groups
  • When a client brings their own caterer, DJ, or decorator and you only provide the space
  • When you need proof of insurance and clear alcohol rules before you confirm a date

How do you fill in this template?

  1. Describe the exact rooms and equipment included, and list anything that is off limits.
  2. Fill in the full access window in section 3: setup, event, guests out, and teardown, plus the overtime rate.
  3. Set a maximum headcount that is no higher than the room's occupancy limit, and a date for the final guest count.
  4. Choose your alcohol and vendor rules, and the insurance limits and certificate deadline you need.
  5. Write the cancellation schedule with dates, not reasons, and check that the deposit and refund terms match your booking page.
  6. Upload it to eSignSimple, save it as a template for future bookings, and send it for e-signature. If a company is booking, set a signing order so the client signs before you countersign.

How do you get it signed online?

  1. Save it as Word or PDF. Paste the filled-in text into Word or Google Docs and keep it as a .docx file, or export it as a PDF. eSignSimple accepts both, plus DOC, ODT and RTF, up to 25 MB; Word files are converted to PDF on upload.
  2. Upload and place the fields. Sign up with Google, upload the file and drag signature, initials, date and text fields onto the page for each signer. Set a signing order if one party must sign first.
  3. Send it for signature. Each signer gets a private link and signs in the browser without creating an account. Automatic email reminders go out every three days (up to three) until everyone has signed.
  4. Keep the signed copy. When the last person signs, everyone can download the final PDF with a certificate of completion, an audit trail and a SHA-256 fingerprint you can verify later.

Frequently asked questions

What is the difference between a venue rental agreement and an event contract?

A venue rental agreement rents the space and sets the rules for using it. An event contract covers services, such as planning, coordination, or staff, that a planner or vendor provides. Many events need both: a venue agreement with the hall and an event contract with the planner or caterer.

Should a venue require event insurance?

For most private events with more than a handful of guests, it is sensible, and many venues require it. A one-day event liability policy is usually inexpensive. If alcohol is served, ask for host liquor liability coverage too, and ask for the certificate well before the event.

Who is responsible if a guest is hurt at the venue?

It depends on what caused the injury and on local law. This template makes each party responsible for its own negligence, and makes the client responsible for the conduct of its guests and vendors. Insurance on both sides is what actually pays for most claims.

Can the venue keep the deposit if the client cancels?

If the agreement says so and the amount is reasonable, usually yes. A cancellation schedule tied to dates is easier to enforce than a broad forfeiture clause, because it shows the venue lost a real chance to rebook the date.

Can a venue rental agreement be signed online?

Yes. Electronic signatures are generally valid for business contracts like this in the US and many other countries. See our guide on whether electronic signatures are legally binding.
