How to Add Initials to a PDF

Leases, loan paperwork and long contracts often ask for initials at the bottom of every page, plus next to specific clauses. The point is to show that each signer saw every page, and that nobody swapped one out later. Adding your own initials is easy with free tools. Getting another person to initial every page is where an e-signature tool earns its keep.

Step by step

  1. Decide who initials what. Scan the document for initials boxes: page footers, changed clauses, optional sections such as a pet clause. Note whether only you initial, or other parties too.
  2. Create your initials once. In your PDF tool, create a second signature containing only your initials. Preview on Mac, Markup on iPhone, Acrobat Reader and our Sign PDF tool all let you save or reuse one.
  3. Place them on each page. Go page by page, place the initials in each box and keep the size consistent. Zoom out at the end and scroll through to check that no page was missed.
  4. For other signers, use initials fields. In an e-signature tool, drag an initials field onto every place that needs one and assign it to the right signer. In eSignSimple, signers cannot finish until every required field is filled.
  5. Send and keep the record. Send the document. When everyone has signed, keep the final PDF together with the audit trail and certificate of completion, which show who completed each step and when.

Why do contracts ask for initials on every page?

It is a paper-era safeguard. A signature on the last page proves you agreed to something; initials on every page make it much harder to claim later that page 4 was never shown to you, or to slip in a replacement page. They are also used to flag agreement to a specific change, such as a crossed-out rent amount or an optional clause.

Legally, initials are usually not required for a contract to be binding; the signature is what counts. But if the other side's document asks for them, provide them. A missing initials box is an easy way for a landlord or a lender to send the whole thing back.

Free ways to add your own initials

On a Mac, open the PDF in Preview, go to the Markup toolbar, choose Sign and create a new signature with just your initials. On iPhone and iPad, use Markup in the Files app. On Windows and Android, Acrobat Reader's Fill & Sign has a separate Initials option. On a Chromebook, the Gallery app can save a drawn signature that you place on each page (see signing a PDF on a Chromebook).

None of these tools stamps initials on all pages automatically, and honestly we think that is fine: placing them yourself means you actually look at each page, which is the whole point.

How do I get someone else to initial every page?

Send the document through an e-signature tool with initials fields. If two people sign, such as landlord and tenant, give each their own set of fields; each signer's fields are shown in their own color.

Which documents usually need initials?

Residential and commercial leases are the classic case: our lease agreement, commercial lease, sublease and pet addendum templates are all documents where landlords commonly ask for initials on each page or next to key clauses.
