How to Sign a PDF on a Chromebook
A Chromebook can sign a PDF without installing anything. On current ChromeOS, PDFs open in the Gallery app, which can save a drawn signature and place it wherever you need it. If you prefer to work in the browser, a web tool such as our free Sign PDF tool does the same job, and when someone else has to sign, you need an e-signature service instead. This guide walks through all three.
Step by step
- Download the PDF to your Chromebook. If the PDF is an email attachment or a link, download it first so it lands in the Downloads folder of the Files app. If it lives in Google Drive, you can open it straight from the Google Drive section of the Files app.
- Open it in the Gallery app. Double-click the PDF in the Files app. On current ChromeOS versions PDFs open in Gallery by default. If it opens somewhere else, right-click the file, choose Open with and pick Gallery.
- Create your signature. Select the signature option in the toolbar at the top, then draw your signature with the touchpad, a mouse, your finger on a touchscreen or a stylus. Gallery can save it, so next time you only need to place it.
- Place and size it. Select Place signature, drag it onto the signature line and resize it. You can place the same signature in several spots, which helps with forms that ask you to sign more than once. Use the text tool to add the date or your printed name.
- Save a copy. Save the edited PDF, ideally as a new file so you keep the unsigned original. Check the result by opening it again before you send it back.
What does the Gallery app actually do with PDFs?
Google describes Gallery as the Chromebook's PDF viewer and editor: according to the Chromebook Help page on PDFs, you can add text annotations, draw with pen and highlighter tools, and sign with a saved signature. Newer versions can also redact and delete pages. For a lease, an NDA or a permission slip that you only need to sign yourself, that is all you need.
The catch is that Gallery adds a picture of your signature, nothing more. There is no record of who signed or when, and nothing stops a page from being changed afterwards. That is fine for signing your own copy of a form, but it is not a way to collect a signature from someone else.
Can I sign a PDF in the Chrome browser instead?
Chrome's built-in PDF viewer is mainly for reading. Depending on your version it may offer a basic draw or annotate mode, but Google's own help notes that text annotations are not available in the Chrome viewer, and it has no saved-signature feature. If you are in the browser anyway, a web tool is the easier route.
Our free Sign PDF tool runs in the browser and processes the file on your device, so it is not uploaded. You can draw or type a signature, add the date and download the signed file. It is included with a free account. If you only need an image of your signature to reuse, the signature generator creates one.
Adobe's Acrobat online tools and the Acrobat Reader Android app (on Chromebooks that support Android apps) also offer Fill & Sign. They work well, but they upload the file to Adobe or ask you to sign in, and the free tiers push you toward a subscription.
What if someone else needs to sign?
Signing your own copy is an edit. Getting a client, a landlord or a colleague to sign is a workflow: you send the file, they sign, and you need proof of who signed and when. Emailing a PDF back and forth and asking people to use Gallery gives you none of that.
An e-signature service handles it from any browser, which suits a Chromebook perfectly. In eSignSimple you upload the PDF or Word file, drag signature, initials and date fields onto it, and enter each signer's email. Signers do not need an account. When everyone has signed, you get the final PDF with an audit trail and a certificate of completion. Our guide on how to send a document for signature walks through it, and the Free plan covers 5 documents a month.
Signing a PDF that is stored in Google Drive
Chromebooks and Drive go together, so many PDFs you sign will already be there. You can open them in Gallery from the Files app, sign, and save the copy back to Drive. Google also has its own eSignature feature for PDFs on some Workspace plans; we cover what it can and cannot do in how to sign a PDF in Google Drive.
Tips for a signature that looks right
A touchpad signature tends to look shaky. If your Chromebook has a touchscreen, draw with your finger or a stylus instead, and zoom in before you draw so you have more room. A typed signature in a script font is perfectly acceptable for most everyday documents; the law cares about intent to sign, not handwriting (see electronic signature vs wet signature).
If the document has initials boxes on every page, place your initials on each one before saving; our guide on adding initials to a PDF covers that in detail.
Our take
We think the Gallery app is the right default for signing your own PDF on a Chromebook: it is built in, free, and the saved signature makes repeat signing quick. Reach for a browser tool when you want to type a signature or avoid fiddling with Gallery, and skip Acrobat unless you already pay for it. The moment another person has to sign, stop editing PDFs and send the document through an e-signature service, because the audit trail is the part that actually protects you.
Frequently asked questions
Is there a free way to sign a PDF on a Chromebook?
Yes. The built-in Gallery app can add a drawn signature to a PDF for free, and our Sign PDF tool works in the browser with a free account.
Why does my PDF not open in Gallery?
Your Chromebook may be set to open PDFs in Chrome. Right-click the file in the Files app, choose Open with, then Gallery. You can also set Gallery as the default there. Keeping ChromeOS updated helps, since PDF editing arrived in newer versions.
Can I type my signature instead of drawing it?
Gallery focuses on drawn signatures. If you want a typed signature in a script font, use a browser tool such as our Sign PDF tool or the signature generator.
Is a signature added on a Chromebook legally valid?
In the US, the EU and many other places, electronic signatures are generally valid for most everyday documents. For contracts with another party, an e-signature service that records an audit trail gives you much better evidence than a pasted image.
How do I get someone else to sign a PDF from my Chromebook?
Use an e-signature service in the browser. With eSignSimple you upload the PDF, place fields and send it by email; the signer needs no account and you get a certificate of completion at the end.
