A Google Docs eSignature alternative that works without a Workspace plan

Google's built-in eSignature lets you request signatures on Google Docs and PDFs straight from Docs and Drive, with up to 10 signers per request and an audit trail page in the final PDF. It is included in Workspace Individual, Business Standard and Plus and several Enterprise and Education editions, but not in Business Starter or a free Gmail account. eSignSimple is a standalone e-signature tool: a free plan with 3 documents a month, paid plans from $4.99/month, bulk send, web forms and an API. If your team already pays for Business Standard and only signs a few documents, Google's tool may be all you need.

Google added eSignature to Docs and Drive in 2023 and extended it to PDFs in Drive in late 2024. You open a Google Doc or a PDF, choose eSignature, drag fields onto the page (signature, initials, name, text and date signed), add the signers' email addresses and send. Signers get an email with a link, can type or draw their signature, and can reject the request. When everyone has signed, Google produces a final PDF with an audit trail page that lists the events with timestamps and the signers' details.

According to Google's help center, the feature is available to Workspace Individual subscribers and, once an administrator turns it on, to Business Standard and Plus, Enterprise Starter, Standard and Plus, Enterprise Essentials and Essentials Plus, and Education Plus. Google's pricing page marks it as not included in Business Starter. The limits are modest: up to 10 signers per request and up to 200 fields per document. Reminders are optional, with the first after 72 hours and more every 3 days for up to 9 days. Once a request is sent, the file is locked, and any change means cancelling and sending a new request.

eSignSimple is a separate service built only for collecting signatures. You upload a PDF or Word file (we convert Word to PDF), place fields, set a signing order if you need one, and send. Signers need no account. Every completed document gets an audit trail and a certificate of completion with a SHA-256 hash. If you only want to sign something yourself in Google, our guides on signing in Google Docs and signing a PDF in Google Drive cover that.

Where is Google Workspace eSignature the better choice?

  • If your company already pays for Business Standard or higher, eSignature costs nothing extra. We cannot beat already-paid-for.
  • It lives where your documents are: you can draft in Google Docs and send for signature without exporting or uploading anything.
  • Signed files stay in your Drive, under your organization's existing sharing rules, retention and admin controls.
  • Google's infrastructure and the compliance programs it publishes for Workspace, plus signatures applied with a certificate on Adobe's Approved Trust List, according to Google.
  • Your colleagues already know the interface, so there is nothing new to roll out.

Why do people switch to eSignSimple?

No Workspace seat needed

Google's tool comes with a Workspace plan; free Gmail and Business Starter don't have it. eSignSimple has a free plan with 3 documents a month and paid plans from $4.99/month, whatever email or office suite you use. See pricing.

More than 10 signers, or many copies at once

Google caps a request at 10 signers. We do not cap signers, and bulk send on Silver sends one document to up to 200 people as separate copies.

Self-service paperwork with web forms

A web form is a public link to a template: anyone can open it, fill it in and sign, and you get the completed PDF. Google's eSignature has no equivalent.

Automation through an API

Silver and up include a REST API and webhooks, so your own system can send documents and react when they are signed. See our developer docs.

Who should pick which?

Pick eSignSimple if…Pick Google Workspace eSignature if…
You don't have Business Standard or higher, or you use a free Gmail account.Your organization already pays for an eligible Workspace edition.
You need more than 10 signers, bulk send or public signing links. You sign a handful of documents a month with up to 10 people each.
You want an API and webhooks to automate sending. You want everything, including signed files, to stay inside Google Drive.

How do you switch from Google Workspace eSignature to eSignSimple?

  1. Download the completed PDFs (with their audit trail pages) from Drive and keep them with your records.
  2. Export the Google Docs you send often as PDF or Word.
  3. Create an eSignSimple account with Google and upload those files; place signature, date and text fields.
  4. Save recurring documents as templates and set a signing order where it matters.
  5. Send a test to yourself, following our guide on how to send a document for signature.

Our take

Google's eSignature is a sensible, low-friction feature for teams already on Business Standard. If you send a few contracts a month to a handful of people and want them filed in Drive, keep using it. It is not worth buying a Workspace seat for, though, if signatures are all you need.

Where it runs out is volume and automation: 10 signers per request, no bulk send, no public form links and no API for signing. That is where a dedicated tool earns its place. eSignSimple gives you those for $9.99/month on Silver. For other standalone options, see our best free e-signature software guide.

We compare published features and prices from each vendor's own website and list the sources above. Where we could not verify something, we say so. Google Workspace eSignature is a trademark of its owner; eSignSimple is not affiliated with it. See how we protect documents on our security page and what each plan includes on pricing.

Frequently asked questions

Is Google Docs eSignature free?

Not with a free Gmail account. Google's help center lists Workspace Individual, Business Standard and Plus, several Enterprise editions and Education Plus as eligible; Google's pricing page marks it as not included in Business Starter (checked October 2026).

How many people can sign one Google eSignature request?

Up to 10 signers per request, with up to 200 fields per document, according to Google's help center. eSignSimple does not cap the number of signers.

Does Google eSignature include an audit trail?

Yes. When all signers have signed, the final PDF ends with an audit trail page listing events such as requested, signed and completed, with timestamps and signer details.
