eSignature for insurance

E-signatures for insurance agents and brokers

Agents and brokers collect signatures on applications, disclosures, authorizations and agency agreements, often from clients who are not in the office.

eSignSimple lets clients sign from any device and records an audit trail. Insurance is regulated; confirm that e-signatures are accepted by the carrier and regulator for each document.

Insurance is a paperwork-heavy business built on trust, and much of that paperwork happens away from the office: at a client's kitchen table, on a job site or over a phone call. Waiting for printed forms to come back by post or scan slows policies and renewals.

Our take: agents and brokers should use a general e-signature tool for agency paperwork, client authorizations and service agreements, and follow carrier processes for applications and anything the carrier specifies. Mixing the two without checking is how compliance problems start.

Remote clients

Clients sign from their phone, without printing or scanning. A link that works on any phone removes the need for a second meeting just to collect a signature.

Audit requirements

Timestamps, IP addresses and document hashes support your records. The certificate of completion is a readable summary you can attach to the client file for an internal or regulatory review.

Carrier rules

Some carriers require their own signing platforms or specific forms. Treat carrier requirements as the starting point, and use a general tool where the carrier leaves the choice to you.

Documents you can sign electronically

  • Client authorizations
  • Agency and producer agreements
  • Service agreements
  • Consulting agreements
  • NDAs
  • Liability waivers

Tips

  • Confirm carrier and state requirements before replacing a carrier-provided form.
  • Keep the certificate of completion with the client file.
  • Use templates for recurring disclosures.
  • Keep a short internal list of which forms can go through eSignSimple and which must use carrier systems.
  • Use signing order when a supervising agent or principal must review before the client signs.
  • Our take: do not edit carrier-supplied forms to make them fit a different tool. Send them the way the carrier expects, and save your own templates for documents you control.

Frequently asked questions

Are e-signatures legally binding for these documents?

In most cases, yes. Simple electronic signatures are recognized under the US ESIGN Act, UETA and the EU eIDAS Regulation. Some documents, such as wills or certain court and real property filings, may need wet ink, witnesses or notarization depending on the jurisdiction.

Can I use eSignSimple for carrier applications?

Only when the carrier accepts third-party e-signatures. Many carriers have their own processes, so check first.
